For my couples, my involvement often begins with the heart of the wedding day: the ceremony.
As a professional Wedding Celebrant, I don’t believe your ceremony should feel like a formality to get through before the party begins.
It should be one of the moments you remember most.
I take time to understand your story, personalities, families, values, and the atmosphere you want to create.
Your ceremony might include your love story, personal vows, readings, carefully chosen music, or involvement from children, family, and friends.
You may choose meaningful rituals such as handfasting, ring warming, or a unity ceremony, or incorporate traditions that reflect different cultures and backgrounds.
Then I consider the practical choreography.
- Who has the rings?
- Who has the vows?
- Who is reading?
- Where will everyone stand?
- What music accompanies each entrance?
- Who cues the musicians?
- When does the signing take place?
These details aren’t glamorous.
But getting them right is what makes a ceremony feel polished, relaxed, and completely natural. For weddings involving large wedding parties or hundreds of guests, I always advise a rehearsal because everyone involved knows exactly what will happen, and it reduces stress levels.

If your ceremony begins at 5 pm, we don’t simply write “Ceremony – 5 pm.”
We work backwards.
When must hair and makeup begin? When should you be dressed? When do the photographer and videographer arrive? When are flowers delivered? When can decorators access the venue? When do musicians set up and soundcheck? When should guests arrive?
Then we move forward.
How long do photographs require? When does the kitchen need everyone seated? When are the speeches? Who ensures champagne is ready? When is the cake cutting? What happens before the first dance? When does the evening entertainment begin?
Most importantly:
Who is responsible for each element?
Detailed timelines for your wedding day team
A well-designed wedding timeline gives every professional involved a clear understanding of their role.
But a good coordinator also knows when not to follow it blindly. I produce a very detailed timeline for everyone involved in the day. That way they all know exactly where they need to be, what’s happening, and who is involved. I then orchestrate the entire team, bringing every element together seamlessly.
Wedding-Day Coordination: Managing the Day Without Managing the Couple
Weddings are live events.
Something will almost certainly change.
Photographs may take longer because the sunset is spectacular. Dinner may need another ten minutes. A guest making a speech may temporarily disappear. Weather may change. A child may decide that walking down the aisle is no longer part of their life plan.
This is where experience becomes invaluable.
- While you are talking to your guests, I can be communicating with the venue.
- While you are having photographs taken, I can be checking what needs to happen next.
- Before speeches begin, I can make sure the appropriate people and suppliers are ready.
- Before your first dance, I can check that the photographer and videographer are in position and the DJ has the correct track.
